Work experience policy and procedure

Roles and responsibilities

The learner’s responsibilities are to:

  • work for the employer in accordance with the agreed job description
  • undertake training, attend courses if required, keep records, and take tests to be determined by the employer and, or InspireU, and carry out such work as may be required
  • be diligent, punctual and behave in a responsible manner. This is in accordance with the requirements of health and safety legislation relating to the learner’s responsibilities as an individual
  • complete all relevant paperwork required by InspireU
  • give the employer and InspireU at least two weeks’ notice if they wish to end their work placement early
  • follow the employer’s annual leave policy and inform InspireU at least two weeks beforehand if they wish to take annual leave
  • promote the employer’s best interests at all times

Employer responsibilities are to:

  • provide a high quality, structured work experience placement. This should allow the learner to engage in purposeful work and gain valuable experience
  • provide a job description where appropriate to the learner
  • identify a mentor to support the learner and give them regular and constructive feedback
  • allow:
    • InspireU reasonable access to their premises, or
    • allow the learner (at an agreed time) to meet InspireU staff for the purpose of evaluating and assessing the working environment
  • maintain a full and accurate record of attendance of the learner
  • carry out an initial induction with the learner. This should be an ongoing consideration
  • ensure any restrictions or prohibitions imposed on the learner are:
    • discussed
    • recorded in writing
  • ensure adequate supervision is always available
  • at the end of the work placement:
    • offer an interview if there is a suitable position within the business.I
    • if there is no opportunity within the business, provide the learner with a meaningful exit interview, together with a reference. This will help them secure an apprenticeship or other employment
  • make available (for the purposes of monitoring and audit), all records including:
    • policies of insurance
    • records of attendance and hours worked, relating to the work placements provided by the employer, and as required by InspireU and, or the ESFA
  • allow reasonable access to their premises for monitoring and evaluation purposes by the InspireU, the ESFA or their appointed agents, if required.  Such access will be arranged at the Employer’s convenience

InspireU responsibilities are to:

  • agree the content of the learner’s individual learning plan. Confirm that the selected outcomes and training plans meet the needs of the individual
  • to enable the learner to be as independent as possible, support them through:
    • job matching
    • job carving and coaching
  • provide the training, support and assessment necessary to enable the learner to achieve the outcomes specified in their individual learning plan;
  • provide the learner with work readiness, English and maths training
  • support the learner, as much as possible, with issues that may affect the success of their work placement
  • use the best endeavours to ensure the employer provides the learner with a work experience placement that:
    • is high quality and structured
    • has the opportunities necessary to achieve the outcomes specified in the learner’s individual learning plan
  • support the employer to provide the placement and advise on reasonable adjustmentsreview the placement to ensure it continues to meet the learner’s and  employer’s requirements
